Les Gaulois
Association de Basebell Mineur de St-Amable

Introduction to the Retroaction Platform

The Retroaction platform is used by sports organizations to create groups, schedule activities, evaluate members (players, athletes, referees, coaches), create and balance teams. The platform also simplifies communication with their members and parents as well as taking attendance at activities. The organization Les Gaulois is currently using one or more of these features.

The member or his parent, will be invited to collaborate with the organization to indicate his presence or absence to the activities. So, read on to find out how to do it.

Advertising

Some pages of the Retroaction website or mobile application display advertisements. Be aware that the Retroaction platform will never ask you to enter your credit card number. So be careful not to confuse an advertisement with the official content of the Retroaction platform.

Activity schedule

You can check the schedule on the website or using the mobile application. In both cases, it is preferable to create an account. Creating an account is possible from the website or the application.

Mobile app

Download the mobile app now to view your schedule and indicate your presence.

If you already have a Retroaction account, just use the same email address. Otherwise, creating a new account from the mobile app is only possible if your email address is currently in a member's file. The mobile app is intended for players and parents and allows you to view your personalized schedule. It also allows you to view your team details and more.

Website

The association's schedule of activities is also available on the website.

SCHEDULE (https://www.retroaction.ca/Schedule/Index/Gaulois)

We suggest that you save this link in your favorites as you will need to consult it regularly. By default, the schedule presents the list of all the activities of the association. However, you can log in to get a personalized version of the schedule. You can also filter by category and location.

Attendance management

The association asks you to report the presence or absence of a member to the activities. The goal is to help us better plan our activities.

To successfully report the presence or absence of a member, you must authenticate yourself.

With a Retroaction account

You can create an account from the mobile app or on the Retroaction platform at www.retroaction.ca. Once your account is activated, you will be able to see the list of your members (ex: your children) and you will be able to consult each person's file and schedule.

Use the same email address as when registering the member. If you wish to use a different email address, inform the association to add this new address to the members' files.

Authorize a device

If you do not have an account in the Retroaction platform, you can still indicate the presence or absence of a member. All you need to do is authorize a device, that is, your smartphone, tablet or computer. Email validation will be performed and you will not have to provide a password. You will receive an email with a link to complete the authorization for this device. By clicking on the link in the email, you will be automatically redirected to the schedule and we will add a secure cookie in your browser to identify you. This cookie will be present on future visits and you will not have to start the authorization process again.

If the email address used is not in the file of at least one member, an error message will be displayed. Often the reason is that the email address you use is different from the one that was used when registering the member. Start over with another email address or contact the association to add your new email address to a member's file, that is, your file or that of your child.

Finally, if you wish to report the presence or absence of a member from several devices such as a computer, tablet or smartphone, you will have to repeat the procedure on each device.

Indicate their presence or absence

As long as you have an account or have authorized a device, you can indicate whether the member will be present or absent at an activity. You can do it up to 30 minutes before the start of the activity. Otherwise, a volunteer from the association will have to do it for you when you arrive.

By simply clicking on the symbol of an activity, you will have two choices:

Present

To indicate that a member will be present at an activity.

Absent

To indicate that a member will be absent from an activity. At the same time, you can select the reason for the absence and provide details if necessary.

Reminders

An email reminder can be sent by the organization or by a person in charge such as a coach or manager if you have not indicated the presence or absence of a member at an upcoming activity. If you have an account, you can use the buttons directly in the email to indicate the presence or absence of this member. Otherwise, visit the website or use the Retroaction mobile app to do so.

Synchronization with your favorite calendar

You can have the list of activities directly in the calendar of your smart phone. If you have multiple children, subscribe to each of them and get the full list of activities in real time in your favorite calendar like Outlook, Google Calendar or iOS.

To activate synchronization, visit the organization's schedule on the website and select a member. Next, click the Sync schedule and follow the instructions.

If you notice that you have way too many activities, you have not correctly selected the member in the schedule before proceeding to the synchronization. Delete the calendar from your device and start over.

However, you will not be able to report the presence or absence of a member from the synchronization. You will need to visit the organization's schedule to do so.

Please note that it is also possible to synchronize the complete schedule of a category, a group, of a team or a specific location.

Receive an email notification a few hours before the start of the activity

The organization will not send an email each time it adds an activity to the schedule. She will normally do this if an activity is canceled or if there is a last minute change. However, you can ask to be notified a few hours before each activity involving a member.

To receive an email notification, visit the schedule on the website and select a member. Next, click the Create a reminder and follow the instructions. You will be asked for your email and how long before the start of the activity you would like to receive the reminder. You can create multiple reminders for the same member.

A reminder is valid for a period of 12 months. After this period, you will need to create a new reminder. In addition, the cancellation of this service is always possible from a reminder email.

Unsubscribe from organization communications

It is possible to unsubscribe from receiving emails from the organization. Simply click on the link provided for this purpose at the bottom of an email you received. We will then ask you to confirm that this is your intention. It is important to understand that you will no longer receive any email communications from the organization. Furthermore, only you can reactivate everything. The organization will not be able to do this for you.

To resubscribe to communications from the organization, you must have an account on the Retroaction platform. Log in and go to your account details. Simply click on the small envelope next to the organization name. A red envelope indicates that you are unsubscribed. You can also change subscription status via the Retroaction mobile app in the Settings > Organizations section.

HUAWEI branded smartphone and select LG models

If you would like to reply to an email received from your association and you own a Huawei or LG brand smartphone, check the return address before sending your reply as you may be responding to the Retroaction company instead of respond to your association. The reason is that some of these models ignore an important parameter about the return address to use.
